Event Sales Administrator

Personality and Role Profile
You are ambitious, passionate and energetic person. You passionately support the Events Team in the end-to-end management, sales, and execution of events. You will ensure a seamless client journey and exceptional event delivery, aligned with the hotel’s luxury standards.
Essential Duties & Responsibilities
• Respond to both telephone and online enquiries and distribute to the relevant personnel or in the case of smaller and social events will be responsible for handling of the event The person will complete all aspects of the event process including the preparation of proposals, quotations, and contracts in line with client requirements, financial guidelines and hotel standards.
• Conduct site inspections of the hotel and events venues as required either on a by appointment or adhoc basis.
• Support the Events team with preparation of necessary resources as they represent The Phoenicia Malta at various industry events as well as provide support in the organisation of Phoenicia Malta events with a goal to build sales.
• Handle all aspects of the guest journey and as needed introduce relevant members of the team e.g. Banquet Manager, Chefs etc. so that events are implemented in a seamless way for both clients and the hotel.
• Collaborate closely with other departments (Bqt Operations, F&B, Housekeeping, Kitchen, Finance, etc.) to ensure all information is passed on accurately to ensure maximum effectiveness and quality.
• Develop and provide timely updates of Function Sheets, timelines, and post-event feedback to ensure continuous improvement and knowledge sharing.
Desirable Experience, Qualifications, and Attributes
• Minimum 1 years’ experience in events management, preferably in a luxury hospitality environment is ideal but not a mandatory requirement
• Proven track record in event sales, planning, and execution
• Experience operating in a team in a fast-paced, client-facing environment
• Degree or diploma in Hospitality, Event Management, Marketing, or a related field
• Fluent in English and ideally one other language.

You are ambitious, passionate and energetic person. You passionately look to grasp any opportunity to sell the hotel facilities while ensuring that guest receive a memorable experience. You will be expected to maximise hotel revenue and profitability through events, banqueting and weddings sales.
Essential Duties & Responsibilities
• Promote a helpful and professional image to the customer when requiring assistance with full cooperation, ensuring a prompt, caring, and helpful attitude.
• Assist and follow-up on potential inquiries as necessary in a prompt, efficient, and professional manner.
• Strive to anticipate customer needs whenever possible to enhance quality service, and in turn enhance customer satisfaction in accordance with Hotel standards.
• Set yearly/periodic targets according to previous year’s results and according to current business trends as agreed with the Groups and Events Manager.
• Keep a constant update on availability of conference rooms in liaison with Reservations, the Revenue Manager, the F&B Operations Manager, and the Groups and Events Manager.
Desirable Experience, Qualifications, and Attributes
• Previous experience in event sales environment
• Proven record of negotiated deals related to events organisation
• Proficiency in Microsoft Office Applications
• Excellent command of the English language and one other language
• Ability to work to strict deadlines in an organised fashion and on own initiative
• Knowledge of Opera Sales & Catering will be considered an asset
